Read the phone’s meter and the cloud’s meter
- Open Settings → General → iPhone Storage. Let the breakdown load. Note used space, total capacity, and the largest apps or categories.
- Open Settings → your name → iCloud. Tap Storage or Manage Storage for details. Record that usage separately.
- Keep the exact alert: “iPhone Storage Full,” an app’s own message, and “iCloud Storage Full” describe different limits.
Apple explains the two storage types. If iPhone Storage is full while iCloud has room, work on local content below. If both are full, photo uploads may also be blocked. An iCloud upgrade alone cannot enlarge the phone’s fixed capacity.
Choose the category that actually uses space. Removing a small app will not solve a phone filled mostly by videos. Read each storage recommendation before enabling it; some suggestions delete content.
Syncing is not an independent spare copy
With iCloud Photos, deleting a photo or video on one device deletes it throughout that synced library. Apple also says iCloud Photos content is not duplicated inside the iPhone’s iCloud Backup. Keep separate backup copies of the library.
Before removing irreplaceable originals, export them to an independent destination and open the copies to check they are usable. Apple’s download/export instructions include downloading from iCloud.com on a computer and exporting unmodified originals from Photos to external storage. Check the destination: the iPhone export picker initially opens to iCloud Drive. Another synced Photos library is not an independent copy.
A thumbnail or “backup on” switch is not a verified export. Avoid downloading the entire full-resolution library onto an already full phone. If the only copy cannot be protected, stop before deleting it.
Should I empty Recently Deleted to gain space?
Review it carefully first. Photos normally remain recoverable there for 30 days; deleting them from that album is permanent. On current iOS, open Photos → Collections → Utilities → Recently Deleted, then authenticate to view it. Recover anything removed by mistake. Older versions place the album differently; use Apple’s photo recovery instructions. Do not empty the album simply to make a storage meter fall.
Remove a download before removing its original
Start with content you can replace and do not need offline. Use one of these routes only if it matches what is taking space, then return to iPhone Storage and retry the task that failed.
Apple Music: Remove Download
Touch and hold a downloaded song or album, then choose Remove → Remove Download. This removes the local download. Catalog music then needs an internet connection to play. Delete from Library removes the item from your library and playlists, including other devices using Sync Library. See Apple’s distinction between the two commands.
Files: check the location first
Open Files → Browse → iCloud Drive. Touch and hold a downloaded file, then choose Remove Download. Its cloud file remains available to download later. Delete removes an iCloud Drive file across your devices. “On My iPhone” is local storage and does not imply a cloud copy. If Remove Download is absent, do not substitute Delete. Apple documents local download removal; other storage providers have their own rules.
Offload App keeps its documents and data
Go to Settings → General → iPhone Storage → the app → Offload App. Offloading removes the app itself while retaining its documents and data; Delete App removes the app and related data. If its Documents & Data dominate, offloading may free little. Apple explains these storage actions.
You must reinstall an offloaded app before using it. Confirm it can be downloaded again first. Leave essential authenticator, work, travel, and offline-access apps in place when losing immediate access would matter. Saved app data is not a substitute for a backup.
Optimize the copies kept on the phone
If you already use iCloud Photos, open Settings → your name → iCloud → Photos and check that Sync this iPhone is on. For local photo savings, choose Optimize iPhone Storage or Optimize Storage, rather than Download and Keep Originals.
The menu changed in iOS 27
- iOS 27 or later: in that Photos settings screen, tap iPhone Storage to reach the optimization option.
- iOS 26 or earlier: choose the optimization option directly in the iCloud Photos settings screen.
Apple’s photo storage guide explains that full-resolution originals stay in iCloud while smaller versions can be kept on the phone when needed. Originals may need to download when you open or export them. Optimization is not a promise to free a particular amount immediately.
If you have never enabled iCloud Photos, understand that enabling it uploads and syncs your library and needs sufficient cloud space. Make that choice deliberately. If you prefer not to sync photos, use a verified independent export plan instead of deleting wanted originals.
Read the status instead of toggling sync
Check the library status in Photos. In iOS 26 or later, tap Collections → the profile button. In iOS 18, tap the profile button in Photos. In iOS 17 or earlier, use Library → All Photos and scroll to the bottom.
Connect a safe, undamaged phone to power and reliable Wi-Fi and let it sync uninterrupted overnight. Large libraries can take longer. Read any paused-sync message: low power/data modes, low battery, heat, poor connectivity, or full iCloud storage can pause uploads. Let a hot phone cool rather than trying to force uploads.
Apple advises against turning iCloud Photos off to fix stalled sync. Do not sign out or repeatedly switch syncing off and on to chase free space. If uploads remain stuck, keep the exact status and protect unuploaded originals before seeking help.
Use the result, then stop before an erase
- Local free space rises and the failed task works
- That change helped this task. Keep enough room for your normal downloads and recordings; check again if the warning returns.
- iCloud has room, but local Photos remains large
- Check optimization and the sync status. A larger cloud plan does not move all local content instantly.
- The phone cannot open Settings, keeps restarting, or holds the only copy
- Stop trial-and-error deletion. Seek Apple support or repair assessment with preservation of the data as the priority. For a phone stuck at startup, use the separate Apple-logo guide.
What if System Data or Other is the large category?
These categories can include system assets, logs, and caches; they are not one folder you can safely empty. iOS reclaims some temporary and cached content as needed. A computer may categorize storage differently, so compare against Settings → General → iPhone Storage. If unexplained usage persists after removing known replaceable content, record the usage and ask Apple for help before an erase or a “cleaner” app.
If an iOS update is the blocked task, back up first, then follow Apple’s update instructions under Settings → General → Software Update. Use the space requirement it actually reports; there is no single free-space target for every update and model. Erase or Restore is not a storage-cleanup step in this guide.
For help, send the model, iOS version, exact alert, local versus cloud usage, largest categories, and what changed after one cleanup. Crop personal file names from screenshots. State whether a verified backup or export exists before agreeing to any data-loss procedure.
Sources & scope
Official Apple guidance checked October 16, 2026. This is a source-based checklist for a usable iPhone, not a hands-on diagnosis or a guarantee of recovered space. Capacity varies by model; menus and storage behavior vary by iOS and app.
- Device storage versus iCloud storage and checking iPhone storage — capacity, app actions, and category differences.
- Photo storage optimization and iCloud Photos setup and behavior — versions, syncing, and backup boundaries.
- Files: remove downloads versus delete and Apple Music removal options.
- Download/export photo originals and photo deletion and recovery.
- Paused or stalled photo syncing and updating iOS.
